Recommended "Sample" Letter for Outside Review Letters for Tenure and/or Promotion
Dear Professor ________:
Professor ______ of this department is currently under review for promotion to the rank of (associate/full) professor (and/or award of tenure). As a critical part of this review process, we are writing to ask if you could provide us with an independent, external evaluation of her/his research and scholarly contributions.* We would be interested in your considered opinion on several aspects about her/his research and other scholarly contributions, including overall level of creativity, comparison with peers in the areas of _______, potential for future productivity and extent of development of a national/international reputation.
We are enclosing copies of (or samples of) Professor _________'s publications and a copy of her/his curriculum vitae. In order that we may act on your response before our deadline, please reply by ____ (date). Your evaluation will be confidential to the extent such protection is afforded by University policies and state, local, and federal laws.
We realize that this request places an added burden on your busy schedule. However, we also believe that you understand the importance of the entire process. Thank you very much for your assistance.
*Note to person sending this letter: If teaching also is to be evaluated, appropriate teaching materials must be sent to the reviewer as well and the letter modified to indicate exactly what the reviewer is being asked to review. Peer evaluations of service also can be an important component of the dossier and can be incorporated into the requested letters from external peers. If a service evaluation is requested, please modify the letter to include that component.
NOTE: Any school/college sharing external review letters with candidates should notify referees in the external review request letter. In such cases, the confidentiality statement in paragraph two above should be deleted or modified.
